Privacy Policy

This Privacy Policy describes how Ashworth Community Development Corporation and Ashworth Therapy LLC ("we," "us," or "our") collects, uses, and protects information in connection with our two mobile applications: CareQueue CheckIn (an iPad app used at our reception desk for client check-in) and CareQueue Connect (an iPhone app used by our therapists to manage availability and receive arrival notifications).

Summary in plain English: Our apps collect as little information as possible. The iPad check-in app does not collect any client names, contact details, insurance information, or health information. Therapists' contact information is stored only to operate the app. We do not sell or share your information with anyone for marketing or advertising.

1. What information we collect

From clients using CareQueue CheckIn (the iPad app)

When a client taps a therapist's name to check in, we record only:

The identifier of the therapist tapped
The date and time of the check-in
The status of the check-in (pending, acknowledged, expired)

We do not collect the client's name, contact information, insurance details, payment information, location, photos, biometrics, device identifier, or any health information through CareQueue CheckIn. The app does not require clients to sign in or create an account.

From therapists using CareQueue Connect (the iPhone app)

Therapists must sign in to use the app. Sign-in can be performed with an email address and password issued by a clinic administrator, or with a Google account whose email address matches a therapist record set up by a clinic administrator. When a therapist chooses to sign in with Google, Google handles the authentication and shares the therapist's email address (and any profile information they have made available to applications) with CareQueue Connect; this exchange is governed by Google's privacy policy.

In either case, we collect:

Email address (used as the sign-in identifier)
The therapist's display name (added by clinic administrators)
An optional profile photo of the therapist (uploaded by clinic administrators) used to identify the therapist on the CareQueue CheckIn screen
A push notification token issued by Apple/Google, used solely to deliver arrival alerts
The therapist's current availability status (available / unavailable)
Records of acknowledgments of client check-ins

We do not collect a therapist's location, contacts, calendar, microphone or camera input, or any health information through CareQueue Connect. Profile photos are collected only when uploaded by a clinic administrator and are used solely to display the therapist on the CareQueue CheckIn screen.

2. How we use this information

The information described above is used only to operate the apps:

To display the list of available therapists on the iPad
To notify the correct therapist when their client has arrived
To send a reminder push if a check-in has not been acknowledged
To allow clinic administrators to manage therapist accounts

We do not use this information for advertising, marketing, profiling, or analytics about individuals.

3. Where the information is stored

All data is stored in Google Firebase (Cloud Firestore and Firebase Cloud Messaging), operated by Google LLC, on servers located in the United States. Google acts as our data processor under their standard data processing terms. You can review Google's privacy practices at policies.google.com/privacy.

Push notifications are delivered through Apple Push Notification Service (APNs) and Google Firebase Cloud Messaging.

4. Who we share information with

We do not sell your information. We do not share it with third parties for marketing or advertising purposes. We share information only with the service providers strictly required to operate the apps, namely:

Google (Firebase) — to host our database, run our backend code, route push notifications, and store therapist profile photos
Google (Sign-In) — when a therapist chooses to sign in to CareQueue Connect with a Google account, Google authenticates the therapist and provides their verified email address to the app
Apple — to deliver push notifications to iPhones and iPads, and to distribute the apps

We may disclose information if required by law (for example, in response to a valid subpoena), but we will limit any such disclosure to what is legally required.

5. How long we keep information

Check-in records are short-lived operational records. Pending requests are automatically expired after 20 minutes. We may retain these records for a limited period for diagnostic and operational purposes.
Therapist accounts (email, display name, push tokens) are retained for as long as the therapist is associated with the clinic. When a therapist leaves, their account is deleted.

6. Children's privacy

These apps are intended for use by adult clients of our clinic and by clinic staff. We do not knowingly collect personal information from children under 13. The CareQueue CheckIn app does not collect personal information from anyone, including children, beyond the act of tapping a therapist's name.

7. Security

All connections between the apps and our backend use HTTPS / TLS encryption. Access to administrative functions is restricted to authorized clinic administrators authenticated through Firebase Authentication. Database access is governed by server-side security rules that prevent unauthorized reads and writes.

No system is perfectly secure, and we cannot guarantee absolute security of any information. If we ever become aware of a breach affecting your information, we will notify affected users in accordance with applicable law.

8. Your rights

Depending on where you live, you may have rights to:

Request a copy of the personal information we hold about you
Request correction of inaccurate information
Request deletion of your information
Object to or restrict certain uses of your information

9. Health information (HIPAA)

Our clinic is a covered entity under the U.S. Health Insurance Portability and Accountability Act (HIPAA). The apps described in this policy have been designed to avoid the collection of Protected Health Information (PHI). Specifically, the CareQueue check-in app does not collect any client identifier or any information about the reason for a visit. Communications about your care are handled through our other established systems and procedures, which are governed by our separate Notice of Privacy Practices.

10. Changes to this policy

We may update this policy from time to time. The updated version will be posted at this URL with a revised effective date. Material changes will be communicated through the apps or by email to therapist account holders.
